Class passes and memberships that run themselves, no notebook needed

Sessions come off the pass when someone books, and it sends a reminder before it expires. The membership issues its receipt every month and arrears stay in plain sight.

The life of a class pass

From the sale to the last class, without writing anything down

A ten-class pass goes through four stages, and at none of them do you need to keep track of it from memory.

    It's sold

    Five or ten classes, with its expiry date and valid for the services you choose.

  2. 02

    It's used

    Each booking uses one session, and the same session can't be used twice.

  3. 03

    It comes back if they cancel

    If they cancel within your deadline, the session goes back on the pass and the change leaves a trail.

  4. 04

    It reminds them

    A few days before it expires, an email reminds them what they have left. You choose how many days.

Part-payments

If someone pays €40 of the €80, it's recorded and the arrears go down by 40. No need to wait for the full payment.

It's written down with its reason and doesn't count as collected, so your income isn't inflated.

The membership runs from date to date, or by calendar month with the first one pro-rated if that's how you charge your groups.

Price rises don't sneak in

The price is copied at sign-up. If you raise the membership fee, people already signed up keep theirs.

How Aforo handles class passes and memberships, in one paragraph.

In Aforo, a class pass is a balance of sessions with an expiry date that goes down automatically each time its owner books.

The same session can't be used twice, cancelling within the studio's deadline returns it to the pass, and before it expires an email reminder goes out, as many days ahead as the business chooses.

Monthly memberships work differently: each month for each student is its own receipt, so arrears are a list you can check, collect in full or in part, and waive with the reason written down.

The period runs from the joining date to the same date the following month, or by calendar month with the first payment pro-rated.

Aforo doesn't collect receipts by direct debit from the bank: payment comes in through Stripe or Redsys, or is recorded when someone pays at the studio.

Frequently asked questions

  • What happens to the class on the pass if the student cancels?

    If they cancel in time, the session goes back on their pass; if they cancel late, it's lost, as the money would be.

    The pass follows the same cancellation policy you have for payments: if at that point you'd have to refund the amount, you give the session back.

    So cancelling two weeks ahead doesn't cost anyone a class, and cancelling an hour before doesn't leave you with an empty chair and nothing in return.

    When it's given back, the redemption is reversed: the student's record shows that they used it and that it was returned, with the date, and the pass balances because the figures add up, not by chance.

    And even if someone books from the website and the front desk at the same time, the pass never goes below zero, because the deduction and the balance check happen in the same operation.

  • How are each student's membership arrears tracked?

    Each month for each student is a receipt with its amount, and the arrears are the receipts still unpaid.

    That's why they can be audited: you know which month each person owes, since when and how much is missing.

    When someone pays, it's recorded against their receipt, in full or in part, in the same cash book as the bookings, so the day's takings match what's in the till.

    If you decide not to charge for a month, you waive it with the reason written down, and that month doesn't count as income.

    The price is copied at sign-up, so a price rise doesn't apply automatically to people already signed up.

    And the screen showing what's due in the next few days tells you who to ask without relying on memory, which is exactly the awkward conversation you're trying to avoid.
