A calendar that understands classes, courses and regular spots

“Any places left?” on WhatsApp, and the new course's places shared out among forty people without upsetting anyone.

A studio sells shared places, courses that last months, regular spots someone takes all year and one-person appointments. Aforo runs all four at once, on the same capacity, without them clashing.

  • Capacity per resource, not goodwill. If there are six wheels, six places go on sale. Two workshops at the same time share the room without selling the same spots twice.
  • Pre-enrolment with places allocated by seniority. When you open a course, everyone signs up with their first choice and two alternatives, and places are allocated by seniority. You confirm; the system proposes.
  • A waiting list that runs itself. When the class is full, whoever joins the list gets the offer as soon as a place frees up, and has a while to accept it.
  • Regular weekly spot. “My Tuesday spot” is a real booking: it takes up capacity, shows on the day's list and gets reminders. Cancelling one day doesn't drop you from the course.

Getting paid stops being an awkward conversation

The ten-class pass written down in a notebook only you understand, and this month's membership fee chasing whoever always pays late.

The money from your classes goes into your account, not ours. And what lives in a notebook today (passes, memberships, debts) gets recorded automatically.

  • Real monthly memberships. Each month issues its own receipt. Arrears stay in plain sight, you can take part-payments, waive a month with the reason noted, and the first month is pro-rated.
  • Class passes with an expiry date. Five or ten classes, valid for whatever you decide. They're deducted automatically at booking and send a reminder before they expire.
  • Quotes that turn into bookings. For groups and companies, with free-form lines, tax locked in, the date blocked and an acceptance that creates the actual booking.
  • Your payment account, your money. Stripe or Redsys with your own account. Payments go straight in, without passing through Aforo and with no commission for us.

Pieces tracked until they go out the door

“What about my bowl?”, once again, with the shelves full of unclaimed pieces.

When the class ends, the work carries on. A piece takes weeks to come back, and until then it lives on your shelves and in your head. No generic booking program knows that exists.

  • The whole kiln load, in one go. Select the pieces in a column and they all move to the next status. One photo does for the whole batch.
  • Its shelf, noted down. The location travels with the piece, so nobody has to search the storeroom for someone's bowl.
  • The message goes out by itself. When the piece reaches its final status, its owner gets the email. No more “is it ready yet?” every afternoon.
  • The student can see it. They follow their pieces from their portal without messaging you. And they know when they can come and collect them.

Fourteen are about bookings, from capacity per resource to pre-enrolment with places allocated by seniority.

They also cover the waiting list that moves by itself, the regular weekly spot, the drop-in class, the full course and the one-to-one session.

Thirteen are about money: monthly memberships with receipts and arrears in plain sight, class passes with an expiry date, gift vouchers and coupons.

Accepted quotes create the booking, and payments go through Stripe or Redsys into the business's own account.

Seven are about pieces, from the four statuses that come as standard to the pick-up message. The remaining twenty-four cover your people, your website and permissions.

What your accountant will ask you

  • Data in Europe. Hosted here and exportable whenever you like, in a format that opens in a spreadsheet.
  • A privacy page for each studio. Generated from your details, and warning you on screen if any are missing instead of making them up.
  • Deletion that really deletes. When anonymising, what the law requires you to keep is separated from what identifies a person. And the photos go with them.
  • Children's workshops by the book. Consent from whoever signs for the child, and image rights kept separate from marketing permission.
  • What exactly does Aforo include?

    Fifty-eight features, and all of them can be seen on this page without asking for a demo: the sixteen that most often decide a purchase are explained one by one, and the full catalogue opens at the bottom.

    They fall into four blocks. The first is the calendar, with four ways of selling your time on the same capacity per resource: drop-in class, multi-session course, regular weekly spot and one-to-one session.

    It includes pre-enrolment with places allocated by seniority and a waiting list that runs itself.

    The second is money: full payment, a deposit or payment at the studio, through Stripe or Redsys and with no commission from Aforo.

  • Can I switch off the features I don't use?

    Yes, and that's the normal way to use it. Aforo is switched on add-on by add-on, and you choose which ones: class passes, monthly memberships, pieces, gift vouchers or company quotes.

    If your studio doesn't work with pieces, you won't see a single pieces screen; if you don't run monthly memberships, that part doesn't exist for you.

    A program showing options you don't need wastes your time every morning and looks complicated when it isn't.

    The plan you choose decides which ones you get, not how many: Taller comes with memberships and your calendar inside your website.

    Estudio adds pieces, class passes, gift vouchers, coupons, your own email address and enrolments, and Escuela adds quotes and conversations.

    Changing which ones are active costs nothing and you don't have to tell anyone, so you can switch pieces on when you start glazing and off again if you stop.

    Whatever you switch off isn't deleted: the data is still there if you switch it back on later.

  • Does Aforo work if my studio isn't a pottery studio?

    Yes. Aforo was born inside a pottery studio, which is why it understands pieces, wheels and kiln loads, but what keeps the day-to-day going is the same in any creative studio: selling places, getting paid for them and letting people know.

    Drop-in classes, courses, the regular weekly spot, appointments, class passes, memberships and gift vouchers work the same way in painting, jewellery, sewing, printmaking, bookbinding, candle-making, screen printing or paint and sip.

    The only thing that changes from one craft to another is which resource limits capacity: six wheels, twelve easels, four sewing machines or a single large table.

    That's set up when you start, not programmed. And the add-ons you don't need are switched off, so the screen you see every morning is your craft's, not a dashboard full of things you don't use.

  • Do I need to change my website to use Aforo?

    No. You have two routes and both work from day one. The first is to touch nothing: Aforo gives you your own public page, with your classes, your photos and your colour, ready to link from your Instagram profile or wherever you like.

    That page is included in all three plans and isn't billed separately.

    The second is to put the calendar inside your current website, which you do by pasting a snippet of code wherever you want it to appear, without installing anything or changing provider.

    If your website runs on WordPress, there's an integration that puts it in directly.

    Either way, people book within your brand and the places come off capacity instantly, with no parallel lists and no exporting by hand.

    And if you ever change websites, Aforo's public page keeps working the same and you don't lose your bookings.
