Six steps that today live in a WhatsApp thread, a quote on your phone and a note in the calendar.

In Aforo they're a single record that moves forward, and each step keeps a note of what the one before it decided.

    The enquiry

    Fourteen people, a Saturday afternoon, and they want to know how much. The quote is opened from the record of whoever is asking, not in a separate document.

    The quote

    Free-text lines, taxes fixed at the time and the company's tax details included. It's sent, and what was offered and for how much is recorded.

    The acceptance

    When the group says yes, the booking really exists. There's nothing to retype in the calendar and no need to remember to block the room.

    The deposit

    Fixed or per person, taken online through your Stripe or Redsys account and deducted automatically from the total. The rest is paid on the day of the workshop or before, as you prefer.

    The blocked date

    That Saturday stops being sold for anything else. And if the session is exclusive, it doesn't appear on your page: it's shared with a private link.

    The invoice

    VAT is set per service and fixed at the time of sale, and the export comes out ready for your accountant without redoing the sums by hand.

If the group grows from fourteen to seventeen the week before, the booking is adjusted and the deposit for the three newcomers is taken the same way, without redoing the quote from scratch.

What a group brings besides money

A hen or stag party comes with one person deciding for fourteen, an invoice with tax details and fifteen things you need to know before they arrive.

Fixed deposit or per head

The deposit can be “€20 per person to hold the date” or “€100 now and the rest on the day of the workshop”.

It's set per service, taken online when the quote is accepted and deducted automatically from the total.

On the day of the event you know exactly how much is left to collect and you don't do the sums in front of the group.

Exclusive session

The hen party doesn't appear on your website or your public calendar.

It's shared through a private link that only the organiser has, and the whole room is kept for the group.

An invoice for the company

The company group (what websites call team building) asks for an invoice with its tax details. The quote already includes them and VAT is set per service.

Allergies and sizes, asked in advance

Each service asks its own questions at booking and the answers appear on the day's list.

No commission on the group

A hen party of fourteen people is a big invoice. Aforo doesn't take a percentage of it. The money goes straight to your Stripe or Redsys account.

In short

A group of fourteen fills at once what takes three weeks to fill in dribs and drabs, but it's decided by committee, asks for a quote, leaves a deposit and changes its numbers twice.

Aforo turns that into a circuit. The birthday, the hen or stag party or the company group is quoted with free-text lines and taxes fixed at the time.

The minimum-attendance alert warns you in time if the group falls short, and the rest is paid at the studio or in advance.

Questions from the trade

  • The group changes its numbers three times before the day. Do I have to redo the quote?

    You don't need to redo all of it. The booking is adjusted and whatever depends on the numbers is recalculated automatically.

    If the deposit is per person, anyone who joins later pays theirs the same way without you sending anything again; if it's fixed, it doesn't change however much the group grows.

    What's left to collect on the day of the workshop updates with every change, so the total you see is the real total and not the one from the first version.

    Every change is recorded in the booking with its date, so if someone remembers what was agreed differently, it's written down there.

    When the change is big (from fourteen people to twenty-five, or from a Saturday to a Sunday) you can send a new quote that replaces the previous one, and the previous one doesn't disappear from the history.

  • Can the organiser see who has confirmed without calling me?

    Yes, and that's half the work saved. The organiser gets a private link to the session and from there sees how many people have confirmed and how many are still missing, without messaging you every other day to ask.

    That same link is the one they forward to their group so everyone goes in and signs up, so you're not writing names down by hand as they come in by message.

    If the session is exclusive, the link is the only way in: your public page doesn't show it and nobody from outside can slip in.

    And you see the same from the dashboard, with what each person has paid and what they answered about allergies or sizes, without having to piece it together from the conversation.

    And if you'd rather handle it yourself, you sign people up from the dashboard and the group link keeps working the same way.

  • What happens if the group doesn't reach the minimum?

    You know in advance and you decide. You set how many people each service needs to be worth running.

    Aforo warns you about the sessions that aren't getting there while there's still time to do something.

    You can move the date, open it to the public to fill it, talk to the organiser or run it anyway because it suits you.

    The alert is automatic and comes as many days ahead as you choose' notice you choose; the decision is yours, and Aforo doesn't cancel anything on its own.

    If you decide to cancel, everyone who booked gets their notice and their refund according to the policy they accepted when paying the deposit.

    You don't have to write to each person signed up separately or remember who had paid what.

    And that policy is shown before payment, not in a later email, which is where almost all arguments of this kind start.
