Aforo for paint & sip

Fill Friday before it's Friday

Sell every place with its drink and its add-ons. Aforo warns you when a session isn't reaching the minimum so you can decide in time.

Write to us and we'll reply within one working day. Please note that Aforo works in Spanish: the dashboard, your booking page and the emails your students receive.

One night's bill

The place is half of what you sell that night

The easel and the two hours are the base. What pushes the bill up (and what has to be ready on the table) is chosen in the same step as buying the place, not in a second payment on the day of the session.

One place

Easel, canvas, paints and two hours. With its price and its capacity.

  • Glass of wine
  • Bottle to share
  • Soft drink
  • Large canvas
  • Apron
  • Cheese board

Each add-on has its price and its limit. If you only have twelve cheese boards, it stops selling by itself. And the session list breaks them down per person, so you set up the room knowing how many glasses you need.

Friday is decided on Tuesday

A paint & sip session fills up all at once or doesn't fill at all. What changes the outcome is finding out in time and not leaving places held without payment.

The alert for the session that isn't taking off

You set how many people a session needs to be worth running, and Aforo shows you, with days to spare, the ones that aren't getting there.

You can still push it on social media, move it to another date or cancel it and let whoever booked know.

An empty Friday shows up on Tuesday, when there's still time to do something about it.

Paying holds the place

The place is booked with the payment, in full or with a deposit.

Someone who doesn't turn up no longer costs you an empty easel on a Friday night.

Places counted by easel

If you have 24 easels, 24 places go on sale. And if one Thursday you can only fit twelve in the car, that night twelve are sold and not one more.

The link in your bio leads to booking

A public page with your photos and your colour, or the calendar inside your website.

Someone arriving from a reel pays without going through a chat or waiting for you to reply.

The reminder, before the night

It goes out by itself, with the time, the address and whatever people need to bring.

Fewer people forget and miss it, and you don't write to anyone.

In short

What you'd tell another paint & sip in a minute, without turning on the computer.

A paint & sip Friday is decided on Tuesday: if by midweek the session is at six out of twenty-four, it gets a push or it doesn't run.

Aforo tracks each session's minimum attendance and warns you days ahead about the ones falling short, in time to move them or cancel them and tell whoever booked.

Each session is published with its places counted, as many as the easels you have that night, whether you're in your own venue or in a bar.

Booking means paying, in full or with a deposit, through the business's own Stripe or Redsys account and with no commission from Aforo.

The glass of wine, the bottle or the large canvas are added as add-ons in the same purchase and itemised on the session list.

Aforo (aforoapp.com) is the booking system for paint & sip businesses in Spain: €29, €49 or €69 a month, plus VAT and with no commission per booking.

Questions from the trade

  • Does it work if I run sessions in bars and not always in the same place?

Each session has its own location, as well as its date and its capacity.

You can publish Tuesday at your own venue with sixteen places and Thursday at the bar on the corner with twenty-four, each with its own time, price and add-ons.

People who book see the right address in the confirmation and in the reminder.

If you always work with the same venues, they're saved as locations and you stop typing them in every time.

And because capacity goes by resource and not by a generic room, the kit that travels with you counts too: if one Thursday you can only fit twelve easels in the car, that night twelve places are sold, wherever you go.

What can't happen is the bar giving you room for twenty people and you ending up selling twenty-four places.

  • I sell almost everything through Instagram. Can I take payments without sending anyone off it?

The link in your profile goes straight to the session, with its places and its payment button.

Someone arriving from a reel picks a night, adds the drink if they want and pays, without opening a chat or waiting for you to reply at eleven.

You can link your whole programme or one specific session, which is what you want when you're pushing a night that's going slowly and want to fill it this week.

The public page carries your photos and your colour, so it doesn't feel as if they've gone somewhere else.

Every booking that comes in that way counts towards that night's capacity and towards the minimum-attendance alert, so by Tuesday you already know whether the push has worked.

Aforo doesn't post for you or answer messages. What it does is turn the message you already write into a paid place, instead of into a conversation you have to wrap up by hand.

  • Can I ask about age or allergies before the session?

Each activity asks its own questions at booking, and the answers appear on the session list.

You can ask for age, warn that alcohol is served and require people to confirm it, ask about allergies if you serve food, or ask anything else you need to know before the group arrives.

Each question is set per service, so the children's afternoon session and the Friday-night one don't ask the same things.

The answers are saved in the booking and in that person's record, so the second time they come you don't need to ask again.

Checking at the door is still up to you, as in any business that serves alcohol: what changes is that you arrive knowing who you're expecting and with what, instead of finding out when they're already sitting in front of the easel.

If you also get asked for hen and stag parties and company groups, want to work out what to charge or sell from your own site: celebrations and company groups, how much to charge for a workshop and the calendar inside your WordPress site.

And the features that matter most to you, in detail: the minimum to run a session and the waiting list and commission-free payments.
