Piece tracking

Every piece, tracked from the wheel until it goes out the door

Its status, its photo, its shelf and its owner. When it's ready, the pick-up message goes out by itself.

A piece's journey

Weeks on the shelf, without a single “is it ready yet?”

The class lasts two hours and the piece takes weeks to come back. Aforo keeps track of that time for you, piece by piece.

  1. 01

    It's logged

At the end of the class, the piece is logged with its owner, its photo and the shelf where it's left.

  2. 02

    It changes status

Drying, bisque-fired, glazed. Pieces move one at a time or the whole batch at once.

  3. 03

    The message goes out

When it reaches the final status, its owner gets an email without you writing anything.

  4. 04

    It's collected

The message links to a pick-up timetable, so nobody interrupts one of your classes halfway through.

Piece tracking comes with the Estudio plan and up.

What an ordinary booking program doesn't do

Almost no booking program knows that the class ends and the piece stays.

The whole kiln load in one go

You mark the pieces in a column and they all move to the next status. And one photo does for the whole batch.

Its shelf, noted down

The location goes with the piece. Nobody walks round the storeroom looking for someone's bowl.

A photo for each piece

To recognise it at a glance, where there used to be an initial scratched in with a needle tool.

The student follows it

From their portal they see what status their pieces are in and when they can come and collect them.

What's been waiting a month to be collected

The board shows by status what's in the kiln, what's waiting for glaze and what nobody has come to collect.

In short

How Aforo tracks a studio's pieces, in one paragraph.

In a pottery studio the class ends and the piece stays on the shelf for weeks, between drying, bisque firing and glazing.

Aforo gives each piece a record with its owner, its photo, its note and the shelf where it sits.

It moves through four built-in statuses: drying, bisque-fired, glazed and ready to collect. Pieces move one at a time or a whole kiln load at once.

When a piece reaches the final status, its owner gets a pick-up email linking to a timetable for coming to collect it.

From their portal they can see where each piece is without writing to the studio.

The board gathers all the pieces by status, including those that have been waiting a long time to be collected.

It's a feature of Aforo (aforoapp.com), the booking software for creative studios, from the Estudio plan up.

Frequently asked questions

  • Do I have to move the pieces one by one when a kiln load comes out?

No. You mark the pieces in one column of the board and they all move to the next status at once.

That's how a batch comes out of the kiln in real life, thirty or forty pieces together, and moving them one by one would be an afternoon of clicking.

A single photo also works for the whole batch, and each piece keeps its own if it has one.

The statuses come built in and there are four: drying, bisque-fired, glazed and ready to collect.

When a piece reaches the last one, the pick-up message goes to whoever made it, without you writing anything.

If a piece goes back into the kiln after being ready, it stops counting as ready, so the board never tells you something is ready to collect when it isn't.

Each card also shows how long it has been in that status, which is what gives away the piece forgotten at the back of a shelf.

  • How does the student find out their piece is ready to collect?

Through an email that goes out automatically when the piece reaches the last status, ready to collect.

The email tells them which piece is ready and links to a pick-up timetable, which is a free appointment in your own calendar: that way they choose when to come by and don't turn up in the middle of a wheel class asking about their bowl.

What's more, from their portal they can see the status of each of their pieces at any time, without having to message you on WhatsApp to ask.

You don't send anything by hand or have to remember who was waiting for what.

And because each piece has its photo and its shelf noted down, when the person arrives you know which one it is and where it is without searching the whole storeroom.

Pieces that have been waiting a long time appear together on the board, so you can decide what to do with them before they take over half a shelf.
