Each box is a group with its capacity, its price, its teacher and its rules. And its rates: adult, child, member or student can pay different prices in the same class.
A scheduling tool assumes every booking begins and ends on its own. In an academy almost nothing begins and ends on its own.
You open the groups for the year, each person pre-enrols with their preferred timetable and two alternatives, and places are allocated by seniority.
Someone who has been coming for three years doesn't lose their spot for not seeing a message in time.
And you don't have to decide by hand who gets in and who you say no to.
You generate the whole series, then take out the long weekend or the week you close.
No need to create classes one by one or undo anything to skip a day.
Every month issues its receipt. You can take part-payments when needed, and waive a month with the reason noted down.

The sketchbook, the canvas or the box of pastels are added when booking, with their price and a stock limit, and appear itemised on the day's list.

In an academy, students enrol and stay. They have their Tuesday spot, pay a membership every month, and in September there are more people signed up than easels.
Aforo is built on that. The regular weekly spot is a real booking: it counts towards capacity, appears on the day's list and gets reminders.
The monthly membership issues its own receipt, arrears stay in plain sight and the joining month is pro-rated.
The whole term is generated in one go, and taking out a long weekend doesn't break the series. When you open a new group, pre-enrolment allocates the places by seniority.
Make-up classes follow your rules, materials are sold as an add-on in the same booking and children's classes carry the guardian's consent.
Aforo (aforoapp.com) is the booking system for drawing and painting academies and art schools in Spain: €29, €49 or €69 a month, plus VAT and with no commission per booking.
She logs in and sees what's hers and nothing else. There are three different roles: whoever runs the business, front-desk staff and teachers.
A teacher sees her timetable, the list of who's coming to each class and what they answered about level or allergies, and she can mark attendance; she doesn't see payments, invoicing or the subscription details.
Adding a substitute takes two minutes from the dashboard, not a call to support, and the system won't let the academy end up with nobody who can run it.
When someone leaves, their access is removed and their class history stays where it was.
In an academy with three or four teachers, the shared calendar ends up being the only place that holds the truth about who teaches what.
Their membership is closed with whatever is due up to that day: they're neither charged the whole month nor let off it.
Pro-rating works the same both ways, so someone who starts on the 12th pays from the 12th and someone who leaves on the 12th pays up to the 12th.
Their history is kept, so if they come back next year you don't start from scratch with their details or with what they've already studied.
Their regular place is freed automatically and becomes available to the next person on the pre-enrolment list, following the seniority allocation you've set up, without you having to work out whose turn it was.
And the departure is recorded with its date and its reason, which is what you need in January to know why half a group left.
You mark their absence in the dashboard and see straight away which classes are left with nobody to teach them.
Aforo doesn't cancel anything on its own: it shows you the affected sessions and you decide whether someone else covers them, whether they move to another day, whether two groups are merged or whether they're cancelled.
If you cancel, everyone who had booked gets their notice and whatever your rules say (a refund, a make-up class or credit) without you writing to twelve people one by one.
Staff holidays are marked the same way, in advance, so the August calendar stops selling before anyone books a week when the academy is closed.
It's the same mechanism that blocks a room under renovation or a broken kiln: if the resource isn't there, the place isn't sold.
